Donation & Refund Policy

Bimla Devi Seva Sansthan (Regd.)  ·  Last Updated: 24 October 2026

Bimla Devi Seva Sansthan (Regd.) appreciates the generosity and trust of its donors. Contributions help support the Organisation's charitable objectives, with a current focus on Health and Education.

This Donation & Refund Policy explains how donations are processed, acknowledged, recorded and reviewed when a refund is requested.

1. Nature of Donations

All donations made to the Organisation are voluntary contributions.

Donors may be able to select a cause, such as Health, Education or General Support, depending on the options available on the donation page.

Before completing a donation, please review the amount, selected cause and payment details carefully.

2. Donation Processing

Donations made through the Website may be processed by an authorised third-party payment gateway.

A donation will be treated as successfully received only after the relevant transaction is verified through the payment provider and the Organisation's records.

In some cases, confirmation may be delayed due to banking systems, network interruptions or payment gateway processing.

If money has been debited from your account but the donation is not confirmed, please contact us with the transaction reference so that we can investigate.

3. Donation Confirmation and Receipts

Where applicable, the Organisation will provide a donation confirmation or receipt after the successful transaction has been verified.

To help us locate your donation, please retain your payment confirmation and transaction reference.

If you have not received your receipt, contact us using the details provided at the end of this Policy. We may request reasonable information to verify the transaction.

Please do not send your card PIN, CVV, passwords or other confidential banking credentials.

4. Refund Eligibility

Donations are voluntary contributions. Refund requests will be reviewed individually and handled in accordance with applicable law, payment gateway rules and the circumstances of the transaction.

A refund may be considered in circumstances such as:

  • Duplicate payment: The same donation was charged more than once due to a technical or payment-processing error.
  • Failed or reversed transaction: The amount was debited but the donation was not successfully completed or credited as expected.
  • Incorrect transaction: A genuine payment error occurred, and sufficient evidence is provided for verification.
  • Other exceptional circumstances: A request requires review under applicable law or the relevant payment provider's rules.

A refund is not automatic merely because a donor changes their mind after making a voluntary donation. Each request will be reviewed fairly, subject to applicable legal requirements and any rights available to the donor under law.

5. How to Request a Refund

Please email us at bimladevisevasansthan@gmail.com with the subject line:

Donation Refund Request

Include the following details:

  • Donor's name.
  • Registered email address or phone number, if provided during donation.
  • Donation date and amount.
  • Transaction reference or payment gateway transaction ID.
  • Reason for the refund request.
  • Supporting payment confirmation, if available.

Please submit your request as soon as possible after identifying the issue. Where practicable, submit it within 7 days of the transaction so that it can be reviewed promptly. This is a recommended request window, not a waiver of any rights or remedies available under applicable law.

Please do not email full card details, CVV, PINs or banking passwords.

6. Review and Processing Time

We will review the information provided and may contact you if additional details are needed to verify the transaction.

Where a refund is approved, it will generally be initiated through the original payment method or another method permitted by the payment provider.

The time required for the refunded amount to appear in your account depends on the payment gateway, bank and payment method. We cannot guarantee a specific credit date.

If the request cannot be approved, we will communicate the decision and, where appropriate, explain the reason.

7. Refunds for Duplicate or Failed Transactions

For duplicate payments or failed transactions, we will review the transaction records and coordinate with the payment provider where necessary.

If the payment provider has already initiated an automatic reversal, the amount may be credited directly to the original payment source. Please check your bank or payment statement before submitting a second request.

8. Tax Documentation and Receipts

Donation receipts and any applicable tax-related documentation will be handled in accordance with the Organisation's actual registration or approval status and applicable law.

A donation receipt does not, by itself, guarantee eligibility for a tax deduction.

Where tax-related documents have already been issued, the Organisation may need to correct, cancel or update its records if a donation is refunded or reversed, in accordance with applicable requirements.

9. Use of Donations

Donations are intended to support the Organisation's charitable objectives, with a current focus on Health and Education.

The Organisation aims to use contributions responsibly and maintain appropriate records. Where a donor has selected a specific cause, we will make reasonable efforts to honour that selection, subject to the applicable donation terms and legal requirements.

If a particular activity becomes impracticable, the Organisation may apply the contribution to a closely related charitable purpose where permitted by law and consistent with any accepted restrictions.

10. Fraud Prevention and Verification

The Organisation may request reasonable information to verify a refund request and prevent fraudulent claims.

We will not ask you to disclose your payment PIN, CVV, passwords or other confidential banking credentials to process a refund.

Requests may be referred to the payment provider or relevant authorities where required to investigate suspected fraud or unlawful activity.

11. Policy Updates

We may update this Policy to reflect changes in donation processes, payment services or applicable legal requirements. The revised version will be published on this page with an updated “Last Updated” date.
